General Guidelines for East Hampton Board Meetings
Applicable to all future meetings - Dated April 8, 2008
1. HOMEOWNER PARTICIPATION RULE: As a general rule of thumb, limit homeowner presentation and discussion with Board for any one item to no more than 10 minutes. If not resolved in that time, it probably will not get resolved. Time may be adjusted if a presentation requires additional homeowners’ involvement. Suggest the following options as next steps:
a. Suspend discussion for a later time
b. Assign leadership to research issue and develop recommendations, i.e. Board member with 1 or 2 homeowners or a Committee to lead research
2. PREPARATION SUGGESTION: Encourage homeowners to submit their written requests (via email) to the Property Manager - Anh Nguyen, at: anguyen@the continentalgroupinc.com and to the Board President – John Waddell, at: BOD_jwaddell@east-hampton.org at least one week prior to the Board meeting. This will give us time to communicate the issues among the members of the Board and provide a better opportunity to discuss or respond to homeowners requests.
3. COMMUNICATION SUGGESTION: For all items of discussion, Homeowners and Board members should be seeking what is in the best interest of the community as a whole, not just what is best for one individual or small group of individuals.
4. BOARD BUSINESS RULE: Once the Homeowner’s forum is closed and the Board initiates its agenda, the Board respectfully requests that homeowners not participate in those discussions. However, if homeowners should have questions or concerns regarding the discussions, the Board would again request they submit their concerns in writing via an email to the Property Manager and the Board President. The Board then can address those comments or concerns at a future Board meeting.
